Office Manager (work-study)

 

Lauder College House Office Manager Position 2021-22                                                            

LCH Office Managers are responsible for administrative support in the Lauder House Office. Aside from the shared responsibilities below, Office Managers are responsible for special projects in Social Media, Marketing, or Social Programming. We are looking for Lauder College House residents with Work-Study grants and a desire to help create a community among thier peers at their College House.

Shared Responsibilities 

  • Provides administrative support in House Office, including answering phones, filing, posting flyers or other notices, and maintaining office presence after typical business hours 
  • Serves as a courier between Lauder College House and campus offices, including College Houses and Academic Services central office in Stouffer Commons 
  • Completes tasks as assigned by House Coordinator and House Director. Tasks may include posting reservation schedules, updating dry erase board signs, posting flyers, taking pictures at events, tidying the workroom as needed, filing, sorting, or other paperwork 
  • Manages equipment sign-out process; takes inventory of items during each shift and communicates with students regarding return of items 
  • Maintains knowledge of technology in LCH reservable spaces, helps with set-up as needed for constituents reserving space 
  • Assists with set up and clean up for house-wide events and at request of House Coordinator and House Director 
  • Rotates monthly responsibility of creating bulletin board displays for first floor and decorating the house office, following a list of themes throughout the year 
  • Communicates with other office staff members, RAGAs, faculty, House Coordinator and House Director to promote house activities and initiatives 
  • Promotes LCH assessment and feedback initiatives, including LCH Fall survey, Spring College House Survey, and ongoing informal survey opportunities 
  • Office managers must be able to do shifts in the house office. 
  • Other duties as assigned 

 

Each Office Manager will be responsible for special projects in one of the following categories. While the category for which they are hired will remain their primary focus, Office Managers may expect to be trained on how to assist in each category: 

 

Social Media Manager: Two managers whose main focus will be anything related to Lauder College House Social Media. In your cover letter, please specify any experience you may have related to Discord. 

  • Oversees house social networking accounts, which may include Facebook, Instagram, Twitter, Snapchat, Pinterest, etc. 
  • Creates and shares content via social media accounts that promotes student engagement with LCH 
  • Designs and implements initiatives that support LCH social media 
  • Takes pictures at house events to maintain a photo archive for use on social media, house webpage, newsletter, and other outlets 
  • Collaborates with other staff members to design and implement initiatives that support Lauder College House social media 
  • Helps maintain a Discord Server for LCH including maintaining community guidelines 
  • Maintains secure Discord server membership for the house 
  • Moderates house Discord server to ensure community guidelines are followed 
  • Seeks informal feedback from within Discord about programming and activity ideas 
  • Communicates with other office staff members, RAGAs, faculty, House Coordinator and House Director to promote house activities and initiatives 
  • Other duties as assigned 

Marketing Manager: Two managers who focus on promotional materials for Lauder College House including the weekly newsletter. In your cover letter, please note any experience you have in Graphic Design.  

  • Develops publicity material to reflect LCH branding, mission, house initiatives, staff programming, and values in high and low-tech media. 
  • Creates weekly newsletter for LCH to send via email and provides weekly report on open rates 
  • Takes pictures at LCH events; maintains a photo archive via flicker for use on social media, house webpage, newsletter, and other outlets 
  • Designs and maintains educational bulletin boards including those about our house partners including info center staff, housekeeping staff, and dining staff 
  • Edits video and podcast content for upload to LCH YouTube channel 
  • Promotes College House Signature Programs including Research Fellows, Music Fellows, Film Festival, etc.  
  • Communicates with other office staff members, RAGAs, faculty, House Coordinator and House Director to promote house activities and initiatives 
  • Assists with graphic design projects as requested by the House Coordinator and House Director 
  • Remains up-to-date on software and hardware programs to support high-quality graphic design content 
  • Other duties as assigned 

Social Programming Manager: Three managers who focus on planning and running events in the house with the goal of helping residents form social relationships with one another. One manager will focus on outdoor recreational/intramural activities during years where the house cup competition is suspended

  • Plans and implements social activities in the house, including late-night, weekend, and holiday events 
  • Designs initiatives to help students make social connections in the house, may include recognition & celebration efforts, brunch or dinner meet-ups, outings, craft night, movie night, cookie-baking 
  • Designs initiatives to promote space usage and reservation process in LCH, including 7th Floor Community Room, Living Room, Media Room 
  • Plans and runs established and new traditional events such as HarvestFest 
  • Seeks feedback from students about program and activity ideas  
  • Promotes LCH assessment and feedback initiatives, including LCH Fall survey, Spring College House Survey, and ongoing informal survey opportunities 
  • Collaborates with House Council to promote social activities 
  • One manager serves as Intramurals Liaison to Campus Recreation and: 
    • Coordinates house participation in intramural sports and Penn Recreation activities
    • Collaborates with staff to design and implement initiatives that support residents participating in intramurals and College House Cup, including house “pep rally,” team celebrations and other recognition efforts 
    • Plans and implements recreational activities and events- may include informal sports competitions, game nights, wellness-themed activities, hiking trip, video game tournament 
  • Other duties as assigned 

 

While the majority of our positions do not require prior experience and any work-study student living in Lauder College House is eligible to apply, those applying to the Marketing Manager position with a demonstrated ability to use publication and design software including but not limited to: InDesign, Adobe Photoshop & Illustrator, web design software, and PowerPoint will be favored.
